Art UK is looking for a consultant or agency who can assist us with identifying our need around Digital Asset Management and publication, leading to the creation of a requirement specification for an appropriate solution which addresses all of our varied needs. This will be used for further funding applications and commissioning. The appointed consultant will need to work alongside an Environmental Impact Consultant (separately recruited) who will advise on sustainable development and mitigations for the potential environmental impact of the new DAM.

Scope of Work

1. Carry out an audit of Art UK’s Digital Asset holdings and storage/management setup .

2. Meet with all teams involved in Digital Asset Management and IPR management to understand the varied needs of the organisation. This will involve the Digital Infrastructure team (2. 4FTE) and the Digital Assets and IPR team (5FTE).

3. Meet with our Collections Management System (Qi) supplier, KeepThinking, to understand requirements around integration with this system. More information can be provided on request.

4. Analyse and compare similar size and type of organisation’s systems.

5. Produce a requirement specification for a DAM system or set of systems appropriate for Art UK’s varied needs in consultation with Art UK staff.

The tender should include details of:

  • A methodology explaining how the brief requirements will be delivered.

  • Proposed timetable to meet milestones as outlined

  • Overall cost, day rate and VAT registration if applicable

  • The relevant experience and competency possessed by the consultant and other personnel who will work on the project (CVs acceptable)

  • Previous experience relevant to this contract – examples of at least two specific projects should be cited giving reasons why this experience is relevant. Demonstrating any experience of similar National Lottery-funded projects is essential.

  • Two references from clients of similar work.

  • Information on the consultant’s professional indemnity insurance.
