This tab is used to enter data about the activities/machines/data centres that are hosted locally – this could include devices used by staff to carry out digital preservation work as well as servers. If you have a hybrid service (i.e. part on-site and part in the cloud) tease apart the data as best you can. You are more likely to get good granular data locally than from cloud services. DPC RAM headings from the Service Map are included here in case it is helpful to break down the activities using these categories, but feel free to use them flexibly, removing those which are not required or combining headings where data cannot be broken down.

For each of the functions on the service map, gather as much of the information described in the table below as possible for your relevant machines. Note that this table only includes those columns where data entry is required. Columns which contain formulae are not included.

Machine Name/s or Number/s

Include the name or identification number of machine or machines the function runs on.

Country

Country in which the machine is located. Select a country from the drop down list. If the country you are looking for doesn’t appear in the list, select the ‘Other countries’ option or consider locating the relevant information for the country and adding it to the ‘grid factors’ tab.

Make/model of machine

This information may be visible somewhere on the machine.

Idle power (W)

This information can sometimes be found on technical specification sheets provided by the manufacturer.

Maximum power (W)

This information can sometimes be found on technical specification sheets provided by the manufacturer.

Mean utilisation of computing capacity (%)

It may be possible to look up the average utilisation of a machine for a month or year from the server or VM monitoring system, but if this information isn’t available here is a helpful guide to help you estimate a figure:·    

  • The machine is mostly idle - 5–10%

  • The machine is used for storage; not often accessed - 10–20%

  • Moderately active application server - 20–30%

  • Heavily utilised application/processing server - 30–50% 

Total storage capacity (TB)

It should be possible to find out this information from the machine itself or the technical specification from the manufacturer. Enter this figure in TB.

Mean storage used (Wh/TBh)

Provide a rough estimate based on how much storage on the machine is used. Is the machine nearly empty most of the time? Is it almost full most of the time? Is it somewhere in the middle? If it helps, think about the percentage of storage that is used and convert that to a figure between 0 and 1 – so 0.4 (for 40%) or 0.65 (for 65%). An educated guess is fine if you are not able to find exact figures.

Data centre PUE

Data centre (or other location) power usage efficiency (PUE).

Source of the data you have entered. Did you collect it? If so where from? Provide urls or references where you can. Did you estimate it? If so provide any further context that may be helpful to understand the accuracy of the estimate.

Data Confidence (i.e. high, medium, low)

How confident are you that your data is correct – low, medium or high.
