Who does what: A guide to digital archives for the historic environment in the UK

As the number of historic environment repositories that curate digital archaeological archive grows, it can sometimes be confusing for a potential depositor to know which is the most appropriate for them. This guide is intended to help clarify who curates and accepts digital archives. Those organisations covered in this document are members of the Bedern Group and have signed up to the Bedern Declaration.

All the Bedern Group organisations are committed to the preservation of their digital collections and the provision of access to them. They accept archives from different parts of the UK, covering a wide chronological range, that record the influence of humans on the landscape and the development of material culture.

In line with traditional archive practice, all the archives have appropriate rights management procedures in place for both deposition and reuse, and retention and embargoes. While the archives have different architectures they all follow a migration approach to preservation, use core reference models such as the OAIS archival system and other agreed standards of recording.

The archives accept the full range of data types currently used in recording the historic environment; specific file formats that are accepted within the individual organisation are subject to change as technologies change, and a depositor should refer to the organisation’s guidelines.

Catalogues to all the data held by the organisations are freely available on line, but accessibility of the data sets themselves will differ between organisations from free open access online to access via enquiry staff. Some services will be chargeable.

Data management at iPRES 2017

Last updated on 8 May 2018

Read Chris Fryer's account of sessions at iPRES 2017. Chris, who works at the Parliamentary Archives, attended iPRES with support from the DPC's Leadership Programme which is generously funded by our Commericial Supporters.

First things first, I'm extremely fortunate and grateful to be in a position to attend events such as iPRES. My heartfelt thanks go out to the DPC for the Scholarship and my current employers the Parliamentary Archives.

"Data management"; a wonderfully flexible phrase which covers a multitude of sins. Thankfully, this particular session was chock full of work which will be of interest to anyone involved in the weird and wonderful world of digital preservation. The session kicked off with the spotlight on access. The Library of Congress showcased their brand new Labs initiative which aims to act as a place to encourage innovation with Library of Congress digital collections.

Reflections on PASIG 2017, Oxford

Matthew Zawadzki

Matthew Zawadzki

Last updated on 8 May 2018

Read Matt Zawadski's account of sessions on Emulation and Software Preservation at PASIG 2017. Matt, who works at the University of Sheffield, attended PASIG with support from the DPC's Leadership Programme which is generously funded by our Commericial Supporters.

The PASIG conference arrived at the Museum of Natural History in Oxford with delegates from over 30 different countries attending. The first day consisted of a bootcamp, designed to get delegates ‘on the same page’ regarding all things digital preservation (DP) whilst days two and three of the conference consisted of presentations on various topics covering many aspects of digital preservation.

The venue for PASIG 2017 is home to both the Museum of Natural History and the Pitt Rivers museum, and both were open for delegates to avail themselves of during quieter periods when conference presentations regarding digital preservation were not foremost in their thoughts. The museums and Oxford served as a mirror to some broader themes that struck me as I attended the conference as a first timer, due to a generous scholarship from the DPC.

Practically Extinct

Digital materials are listed as Practically Extinct when the few known examples are inaccessible by most practical means and methods.  This classification includes Critically Endangered materials in the presence of aggravating conditions.

In alphabetical order, Digital Species found to be Practically Extinct are:

Pre-WWW Videotex Data Services and Bulletin Board Services

Pre WWW telephone and television information services that allowed a degree of user interaction and data retrieval with modem-based two way communication.

Pre-WWW ViewData and TeleText Services where no archival agency has captured and retained the signal

Pre WWW television information services broadcast within the TV signal that allowed a degree of search and retrieval of up-to-date information, based on TeleText or ViewData technologies and variants.

Action:

Action Most Urgent

Assessment Completed:

November 2017

Examples:

AerTel,

Electra,

MetroText;

Aggravating Conditions:

Lack of understanding

structure of information silos;

Lack or loss of documentation;

Uncertainty about intellectual property rights

Lack of funding or impetus

Practically Extinct small

Critically Endangered: where good practice can be demonstrated.

Note: this category was originally proposed as 'Pre-WWW ViewData and TeleText Services' alone without the qualifier 'where no archival agency has captured and retained the content'. This qualification was introduced and the examples of Ceefax and Teletext Oracle also removed upon notification that an archival agency has been identified holding comprehensive examples of these materials. It is actively developing a solution to provide robust digital preservation and access.  If this work succeeds then the entire category can be downgraded from 'Practically Extinct' at the next review; if not then the qualifiers may be removed and the 'Practically Extinct' classification confirmed.

Lower Risk

Digital materials are listed as Lower Risk when it does not meet the requirements for other categories but where there is a distinct preservation requirement.  Failure or removal of the preservation function would result in re-classification to one of the threatened categories.

Lower Risk small

There are no entries classified as Lower Risk this year.
By compiling and maintaining this list over the coming years, the DPC aims to move entries down into this category - celebrating great digital preservation endeavors as we do so.

Here I am - advocating again……

Last updated on 17 October 2017

Kirsty Lingstadt is Head of Digital Library and Deputy Director of Library and University Collections at the University of Edinburgh

Well here I am writing my very first blog post. My geeky other half has been blogging since LiveJournal was a thing. (These days he has a regular column at Black Gate Magazine and often guest posts for SF author Charles Stross.) He’s always telling me I should write up some of my increasingly technical “war stories”, and I’m always responding by saying no – it’s not that interesting. But the folks at the DPC swear they’re interested, so here I am…

I didn’t start out as a technical person, but it turns out I’ve been doing digital preservation for the last 13 years -- much longer then I realised! Mostly I’m self-taught, with some boosts from various “introductions to digital” preservation courses – I still fondly remember attending a Digital Curation 101 Course in Oxford in 2005 (with Seamus Ross in attendance) giving me my first formal insight into some of the challenges I was already facing and to some extent continue to face. My organisation at the time sent me because during my job interview I’d talked extensively about the need to preserve not just the physical collections but also the born digital ones. Hence I was there to learn more.
