MAIN JOB PURPOSE:

Due to growth in the team, Unilever has a vacancy for an Archivist and Records Manager within the Archive and Records Management (UARM) team. Part of the Central Marketing and Communications Office, UARM are the team that manage Unilever’s information past, present and future. Reporting to the UARM Service Operations Manager, the Archivist and Records Manager plays a key role in helping to deliver UARM’s comprehensive and successful Archives and Records Management service, the high standard of which has been recognised by The National Archives, and recognised as being of international significance through the award of ‘Designated Status’ by the Arts Council England for the Unilever and United Africa Company collections. The role will involve business partnering various functions across the UK and Ireland including Human Resources and Communications, travelling to various locations, to promote and provide advice on archives, records management and legislative requirements. The Archivist and Records Manager will also work closely with other members of the UARM team sharing their expertise on UARM projects.

With an appropriate qualification and experience in Archives and Records Management, you will be able to demonstrate your knowledge of issues relating to the short, long and permanent management of records regardless of format. Self-motivation, excellent communication and organisational skills are all essential for this challenging role whilst experience in managing people would be desirable. You will also be expected to have a good knowledge of the legislation underpinning Archives and Records Management in the business sector.

JOB SUMMARY: 

  • Lead management of CALM system

  • Lead management of Oral History Programme

  • To catalogue assigned collections to in-house and international standards

  • Accessions and appraisal management

  • Assign, monitor and evaluate the daily work of the support and project staff, provide coaching and training where required

  • Increase awareness of UARM and advocate for the service via advice, training sessions, presentations and events

  • Manage client accounts providing Business Partnering to assigned functions

  • Develop new procedures and operational practices

  • Support the day to day running of UARM to ensure that Service Level Agreements are met

  • Lead and support project work

  • Conduct information audits of paper and electronic records and filing systems and help implement new file plans

  • To maintain the professional standards of UARM internally and externally

  • Deputise for the UARM Service Operations Manager as required

KEY REQUIREMENTS: 

  • Post-graduate qualification in Archives and Records Management    

  • Registered member of the Archives and Records Association, or working towards this

  • Hands-on experience of electronic document/Records Management systems; Archive Management systems, digital preservation systems

  • Knowledge of IT and communication technologies in support of archive and records management

  • Knowledge of the legislation underpinning Archives and Records Management in the business sector

  • Knowledge of records management and archival standards

  • Thorough knowledge of methods and practices for appraising records;

  • Inter-personal and communication skills;

  • Self-motivated with sound planning, prioritising and project management skills

  • Work to deadlines and deliver results under pressure, with attention to detail

  • Customer focus: influencing and persuading skills and able to network

  • Experience of cataloguing to a high standard

  • Demonstrate the ability to creatively find solutions to problems

  • Knowledge of standards for the care and storage of art and artefacts
